What to put on an invoice

A complete invoice is paid faster and is easier to match to your records. Use this as a checklist before you send one.

  • The word Invoice and a unique invoice number
  • Your business name, address and contact details
  • The customer's name and address
  • The issue date and the due date
  • A clear description of each product or service, with quantity and price
  • Subtotal, any discount, tax and the total
  • Any deposit or payment already received, and the balance due
  • How to pay: accepted methods and where to send payment
  • Your payment terms, and any late fee you agreed in advance

Requirements for invoices, including tax details, differ by country and state. Check local rules or ask your accountant.

How the totals work

  1. Line total = quantity × unit price, in whole cents
  2. Subtotal = sum of the line totals
  3. Taxable subtotal = taxable lines minus their share of the discount; tax = that × your rate, rounded once
  4. Total = subtotal − discount + tax + shipping or other charges
  5. Balance due = total − amount paid (never below zero)

The currency choice changes the symbol only. It does not convert amounts. In the PDF the euro symbol is written as EUR because the built-in PDF font does not include it. Accented Latin letters work; other scripts are not supported in the PDF.

Frequently asked questions

What is the difference between an invoice and an estimate?
An estimate is an offer made before the work: what you expect the job to cost. An invoice is a request for payment after the work or delivery: what the customer owes. Many businesses send an estimate first and then an invoice that matches it, adjusted for any changes. The free job estimate generator builds the first; this tool builds the second.
How should I number my invoices?
Use any system that gives every invoice a unique number and keeps them in order, such as INV-1001, INV-1002, or a year prefix like 2026-001. Never reuse a number. A clear sequence makes invoices easy to find and gaps easy to spot. The number on this page is only an example.
Which payment terms should I choose?
Due on receipt means payment is expected as soon as the customer gets the invoice. Net 15 and Net 30 give the customer that many days from the invoice date. Pick what you and the customer agreed to, and put it in writing. The due date fills in from the terms, and you can change it.
Can I charge a late fee?
A late fee is something you normally agree on with the customer in advance, for example in a contract or on the estimate, and the terms should state it clearly. Rules differ by place, so check local rules before you add one. This tool does not add late fees automatically; you can write yours in the notes.
How is tax calculated on this invoice?
You enter the tax rate; the tool does not look one up. Tick Taxable on the lines that are taxed. A discount is shared across the lines in proportion, tax is worked out once on the taxable subtotal and rounded to the cent, and shipping or other charges are added after tax. Check which items are taxable where you work.
Is my invoice data saved anywhere?
No. The invoice is built in your browser and the PDF is created on your device. Nothing is uploaded or stored, so reloading the page clears the form. Download the PDF to keep a copy.
